GA Edit Process Overview for Departments and Programs

The Office of the Registrar (OTR) facilitates the edit process for curricular program listings in the Programs of Study section of the online GA. OTR has posted detailed edit procedures as well as a dashboard, tracking the edit process through all three rounds.

GA Edit Process Overview for Policy Section (i.e. most of the sections in the left navigation menu except Programs of Study
Round One
(3/4 - 4/5)

Policy sections (UG, GR, Non-Traditional Students, Faculty Grading Guidelines):

  • The VPAA office emails primary offices instructions for updating their sections, along with a list of sections and links for the content for which they’re responsible.
  • Primary offices that collect edits from secondary offices or individuals that report to them distributes those sections. Each office must either respond “Reviewed and approved with no changes,” or, email the section, with track changes turned on, and return to the primary office.
  • The dean or director of the primary office reviews and approves any changes by signing the printed pages with changes. The primary office emails these pages to VPAA by 4/5.
  • The VPAA office reviews the changes, commits them in CourseLeaf CAT, and flags any substantive changes for further review by the VPAA (C. Fred Higgs III) and other senior administrators or faculty committees as appropriate by 4/26.
Round Two
(4/29 - 5/31)
After the changes from Round One have been made in CourseLeaf CAT, the VPAA office initiates the second round of reviews, using the same method as Round One, to be returned to the VPAA office by 6/21.
Round Three
(6/24 - 7/12)
When the changes from Round Two have been made in CourseLeaf CAT, the VPAA office will initiate the third round of reviews. Primary offices will approve the final version by 7/26.
Primary offices will also be invited to review people listings (such as administrative staff) and submit changes in hard copy.

Round One Policy and Program sections only
Round Two
(4/29 - 5/31)
Faculty, Administrator, and Board Listings:
  • The VPAA office will email to the Provost’s and President’s Offices links to the appropriate people listings.
  • The Provost’s and President’s Offices will review the appropriate listings, will track changes, and return approved pages to the VPAA office by 6/2.
  • The VPAA office will review the changes and make them in CourseLeaf CAT.
Round Three
(6/24 - 7/12)
Faculty, Administrator, and Board Listings:
  • When the changes from Round Two have been made in CourseLeaf CAT, the VPAA office will initiate the third round of reviews. Provost’s and President’s offices will approve and return the final version by 7/31.

New 2024-25 GA will be posted on 8/12.
