Pay Instructors for Summer Courses
  • Summer school instructors will be paid with ICPs (individual compensation payments, or one-time pays) in iO. If desired, multiple ICPs can be set up at one time to be paid out on specified semi-monthly paydays. Here are some questions to address:
    • Does this person already have a faculty appointment for the period they're teaching?

      • If yes, the ICPs can be paid on the appropriate faculty assignment.
      • If no, then an NTT assignment should be added to cover the appropriate summer block(s). This assignment should be in status Active - Payroll Eligible, at zero salary. The ICPs are set up in the Compensation section.
    • Is the appropriate faculty assignment in the status of "Active - Payroll Eligible" during the summer term?

      • If yes, then add the one-time pay(s) on that assignment.
      • If no, then add a summer session assignment, setting the salary to zero. The ICP can be set up in Compensation.
      • Please note that faculty with multi-year appointments who are paid at 9/9 (paid over 9 months only) will now remain at Active - Payroll Eligible over the summer and can be given ICPs. If set up as 9-month Faculty pay, the system will not pay them their regular monthly salary over the summer.
    • After setting up the ICP(s), you will need to process a labor distribution.

      • Please consult with your dean's office about where summer instructor pay should be charged up front, as it will no longer be charged to a central summer sessions org.
      • Suggested iO coding for Summer School Instructor Pay:

        • Fund type/fund source: 101.011100 (Unrestricted Designated.Summer School)
        • Classification: 161 (Summer lnstruc -Credit College)
        • Program: 9153 (Supp -Summer Programs)
  • Avoiding Overpayments When Classes Are Cancelled: Most departments plan to submit the ICPs after the class has met its minimum enrollment. You can set it up before that, but if the class does not make, you will need to go in and delete the ICP(s) as soon as possible. This is something the department or HCM Initiator will be responsible for.
